Benefits

Why realtors love this

Subtasks break complex processes into clear steps. A listing preparation task can have child tasks for FINTRAC forms, photo scheduling, MLS remarks, and sign installation — each with its own assignee and due date. Complete them one by one and the parent task tracks overall progress automatically.

Task templates eliminate repetitive setup. Save your showing follow-up checklist, new listing workflow, or monthly compliance review as a reusable template. One click creates a fresh set of tasks with pre-filled descriptions, priorities, and relative due dates — no re-entering the same steps every time.

Team assignment and activity logs keep everyone accountable. Assign tasks to team members, track who changed what, and see a complete audit trail of status updates, re-assignments, and edits. When a task is overdue, the assignee gets a notification — not just you.

Saved filters let you create custom task views — overdue items, high-priority only, assigned to a specific agent, or filtered by listing. Save your favourite combinations and switch between views instantly. The dashboard's Today's Priorities widget pulls from these filters to show your morning action list.

Process

How it works

1

Create tasks manually or from templates

Add a task from any page — the dashboard, a listing detail, or a contact record. Enter a title, description, due date, priority, and assignee. For recurring workflows, pick a saved template and all the steps are created in one click with relative due dates calculated from today.

2

Break tasks into subtasks

Complex tasks like listing preparation or closing coordination have many steps. Add subtasks to any task — each with its own status, assignee, and due date. The parent task shows a progress bar based on subtask completion. Reorder subtasks by dragging them into the right sequence.

3

Filter, sort, and act in bulk

The task list supports multi-select with a bulk action toolbar. Select 10 overdue tasks and reassign them all to a team member. Export filtered tasks to CSV for reporting. Save your current filter combination as a named view — 'My Overdue Items', 'Closing Tasks This Week', or 'Team Workload' — and switch between them with one click.

4

Stay on top with dashboard priorities

The Today's Priorities widget on your dashboard surfaces overdue tasks, today's due items, and high-priority tasks requiring attention. No digging through lists — your morning starts with a clear action plan. Notifications alert you when tasks are assigned, approaching their due date, or marked complete by a team member.

FAQ

Common questions

Can I link tasks to listings or contacts?+
Yes. Tasks can be associated with a specific listing, contact, or deal. When you view a listing detail page, you see all tasks related to that listing. When you view a contact, you see their follow-up tasks. This contextual linking means you never need to search for related tasks — they appear where you need them.
How do task templates work with relative due dates?+
When you save a template, due dates are stored as offsets — for example, 'Day 0', 'Day 3', 'Day 7'. When you create tasks from the template, Day 0 becomes today and all other dates are calculated relative to it. A listing prep template with tasks at Day 0, Day 3, and Day 7 creates tasks due today, in 3 days, and in 7 days.
Can team members see each other's tasks?+
Team members see tasks assigned to them and tasks on shared listings. Team leads and admins can see all tasks across the team. The saved filter system lets you create views like 'All Team Tasks' or 'Sarah's Overdue Items' for workload management. Privacy is controlled by your team role settings.
Does Magnate360 send task reminders?+
Yes. The notification system alerts you when a task is approaching its due date, when it becomes overdue, and when a team member completes a task you created. Notifications appear in the in-app notification center (bell icon) and can be configured per user in settings.
