A showing request is created from the listing detail page or via the showings dashboard. You enter the buyer agent's name, phone, email, proposed date and time, and any special instructions. The request is saved with a pending status.

Twilio sends an SMS or WhatsApp message to the seller with the showing details. The message includes the date, time window, buyer agent name, and clear YES/NO reply instructions. The seller's response is processed by an inbound webhook that updates the showing status in real time.

Confirmation triggers calendar sync and lockbox delivery

When the seller replies YES, three things happen automatically: the showing status updates to confirmed, a Google Calendar event is created with the full showing details, and the lockbox code is sent to the buyer agent via SMS. All three actions are logged to the communication timeline.

Which messaging channels does the showing system support?+
The system supports SMS and WhatsApp through Twilio. Seller notifications are sent via the seller's preferred communication channel as set on their contact record. Buyer agent messages currently send via SMS. All messages are sent from your dedicated Twilio phone number, so sellers and agents see a consistent number they can save and reply to.
What happens if a seller declines a showing request?+
When a seller replies NO, the showing status updates to denied immediately. The buyer agent is not automatically notified of the denial — this gives you the opportunity to negotiate an alternative time with the seller before responding to the buyer agent. The denial and any follow-up messages are logged to the communication timeline.
Does the calendar sync work with calendars other than Google?+
Currently, Magnate360 integrates directly with Google Calendar using OAuth tokens stored securely in the database with automatic refresh. Google Calendar is the primary integration because it is the dominant calendar platform among realtors. If you use Outlook or Apple Calendar, you can subscribe to your Google Calendar from those platforms to keep everything in sync.
How are lockbox codes managed and secured?+
Lockbox codes are stored on the listing record and delivered to the buyer agent only after the seller explicitly confirms the showing. The code is sent via a direct SMS message — not included in any email or calendar invite — to minimize exposure. The communication log records exactly when the code was sent and to which phone number, creating an audit trail for security purposes.
